Privacy Policy

StudioHW respects your privacy and handles personal data with care. This Privacy Policy explains what information is processed when you visit studiohw.nl, contact StudioHW or submit an appointment request, why it is used, how long it is retained and what rights you have.

1. Who is responsible for your data?

The data controller is StudioHW, the Netherlands.

Privacy enquiries and requests can be sent through the secure contact form on the Get in Touch page. StudioHW’s receiving email addresses are deliberately not displayed publicly to reduce spam, phishing and automated harvesting.

Visiting location, by appointment only: The Hague Natural Health Centre, Badhuisstraat 224, 2584 HN The Hague, the Netherlands.

2. What information may be collected?

Depending on how you use the website, StudioHW may process:

  • your name;
  • your email address;
  • your telephone number;
  • your preferred appointment date and time;
  • your preferred language, when this option is available;
  • the message and information you choose to provide;
  • the date and time of your request and your acceptance of the applicable conditions;
  • correspondence and administrative information needed to respond to you or arrange a session;
  • limited technical and usage information described in section 6.

Please do not submit passwords, payment-card details, medical records or other sensitive information through the website form. If sensitive information is relevant at a later stage, StudioHW will explain an appropriate and confidential way to communicate it.

The public website does not currently provide visitor accounts, public comment submission or direct media uploads. The generic WordPress provisions for registered-user profiles, public comments, Gravatar and visitor-uploaded image metadata therefore do not currently apply. This policy will be updated before any such feature is introduced.

3. Why is this information used?

Personal data is used to:

  • respond to enquiries;
  • review and manage requests for a free introductory conversation;
  • prevent double bookings and keep the requested date unavailable while the request is reviewed;
  • contact you about confirmation, cancellation or rescheduling;
  • provide information about StudioHW services and session preparation;
  • protect the website and forms against spam, phishing, abuse and unauthorised requests;
  • meet legal, accounting and administrative obligations;
  • understand, in a limited and privacy-conscious way, how the website is used and improve it.

4. Legal bases

Depending on the situation, processing is based on:

  • steps requested before entering into an agreement, such as responding to an appointment request;
  • performance of an agreement, when a service has been arranged;
  • legitimate interests, including responding to enquiries, securing the website, preventing spam and improving website performance in a proportionate way;
  • consent, where the website or a specific optional use asks for it;
  • legal obligations, including applicable tax and business-record requirements.

You may withdraw consent at any time where consent is the legal basis. Withdrawal does not affect processing that was lawful before withdrawal.

5. Appointment requests and messages

An appointment request is stored privately in WordPress under Appointments and is not public. A copy is sent to StudioHW’s private receiving email addresses, which are not displayed on the website. The person submitting the request receives an automatic acknowledgement by email.

Submitting a preferred date does not create a confirmed appointment. StudioHW reviews the request and confirms it separately.

The form uses server-side security checks, rate limiting, duplicate detection and an invisible anti-spam field. Messages containing website links may be rejected for security reasons. Administrative notification emails are sent as plain text.

6. Website statistics, cookies and similar technologies

StudioHW Visitor Insights

StudioHW uses a private, cookieless statistics tool to count visits, page views, pages visited and approximate countries of origin.

  • It does not place a persistent visitor cookie.
  • The complete IP address is not stored.
  • The IP address is used temporarily on the StudioHW server to determine an approximate country through a local database and is then discarded.
  • A protected daily identifier is generated to estimate unique visitors. It changes each day and is not intended to follow a person over time.
  • URL query strings, precise location and referrer URLs are not stored.
  • Logged-in administrators and common automated bots are excluded.
  • Detailed statistics are automatically deleted after 90 days.
  • Reports are accessible only to authorised WordPress administrators.

Country information is approximate. StudioHW does not claim to determine whether a visitor uses a VPN or proxy.

Google Site Kit / Google tag

The website currently includes a Google tag through Google Site Kit. Depending on your consent choices and the active Google configuration, Google may process information such as device and browser information, pages visited, interaction events and an IP address for analytics or measurement purposes. Non-essential Google analytics or tracking technologies should operate only according to the choices offered through the cookie-consent system.

Google acts under its own privacy terms and may process data outside the European Economic Area using legally recognised safeguards. You can refuse or withdraw non-essential consent through the website’s cookie settings.

Cookie-consent and language functions

The website uses iubenda to present and remember privacy and cookie choices. StudioHW Languages provides local English, Dutch and Romanian display options. The selected website language is stored in the visitor’s own browser and the website text is not sent to an external translation provider. Strictly necessary functions may operate without consent where permitted by law; non-essential tracking requires the applicable choice through the consent interface.

7. External links and embedded services

The website may link to YouTube testimonials. When you choose to open YouTube, YouTube/Google receives the technical information normally transmitted when visiting its service and applies its own privacy policy.

If external content is embedded directly in the website in the future, interacting with that content may allow the external provider to collect technical data, use cookies or similar technologies and register the interaction, particularly when you are logged in to that provider. Where required, such content will be subject to the website’s consent configuration.

If an OpenStreetMap map is displayed, your browser may connect to the map provider to load map content. This may disclose technical information such as your IP address to that provider. Where required, the map will be subject to the website’s consent configuration.

StudioHW is not responsible for the privacy practices of external websites. Please review their privacy information before providing personal data.

8. Who may receive personal data?

Access is limited to StudioHW and service providers needed to operate the website and communications, which may include:

  • the WordPress website and hosting provider;
  • email providers, including Proton and Google Gmail;
  • website security, maintenance and consent-management providers;
  • Google services configured through Site Kit;
  • external services you deliberately open, such as YouTube or an online map.

Service providers receive only the information needed for their role and are expected to protect it under applicable contractual and legal obligations. StudioHW does not sell personal data.

The DB-IP Country Lite database is installed locally for approximate country lookup. Visitor IP addresses are not sent to DB-IP for this lookup.

9. International transfers

Some technology and email providers may process data outside the European Economic Area. Where this happens, StudioHW relies on an applicable legal transfer mechanism, such as an adequacy decision or approved contractual safeguards, as required by the GDPR.

10. How long is information retained?

  • Unconfirmed appointment requests and general enquiries are normally retained for no longer than 12 months after the last relevant contact, unless they must be kept longer to establish, exercise or defend legal claims.
  • Website statistics in StudioHW Visitor Insights are retained for 90 days.
  • Consent and security records are retained only for as long as reasonably necessary to demonstrate preferences, prevent abuse and meet legal requirements.
  • Contractual, invoice and accounting records may be retained for 7 years, or longer where Dutch law requires it.
  • Personal data is deleted or anonymised when it is no longer needed for the purpose for which it was collected, subject to legal retention obligations.

11. Security

StudioHW uses reasonable technical and organisational safeguards, including access restrictions, private WordPress records, form validation, anti-spam controls and encrypted website connections. No internet transmission or storage method can be guaranteed to be completely secure. Please use the website form only for the requested information and do not include sensitive details.

12. Your rights

Subject to the GDPR and any applicable limitations, you may request:

  • information about how your personal data is used;
  • access to your personal data;
  • correction of inaccurate or incomplete data;
  • deletion of data;
  • restriction of processing;
  • a portable copy of data you provided, where applicable;
  • objection to processing based on legitimate interests;
  • withdrawal of consent where processing is based on consent.

To exercise a right, use the secure contact form on the Get in Touch page and state that your message concerns privacy. StudioHW may ask for information needed to verify your identity before responding.

You also have the right to lodge a complaint with the Dutch Data Protection Authority, Autoriteit Persoonsgegevens, at autoriteitpersoonsgegevens.nl.

13. Automated decisions and children

StudioHW does not use website data to make decisions based solely on automated processing that produce legal or similarly significant effects. Appointment requests are reviewed by a person.

The website and services are not directed to children. A parent or legal guardian should contact StudioHW before providing information concerning a minor.

14. Changes to this policy

This policy may be updated when the website, service providers or legal requirements change. The current version and update date will be shown on this page.
